As an Administrative Assistant, you will partner with the GIB Operations Teams to efficiently onboard new hires, coordinate staff meetings and events, maintain the GIBWeb-Admin page, and org chart. Additionally, you will support the Talent Director managing a complex schedule with competing priorities, arrange travel and process business expenses.
Success in this position requires strong organizational skills, efficient prioritization of daily tasks, prompt responses to time-sensitive issues with the right level of authority and urgency. The individual should be highly self-motivated, proactive, approachable, and serve as a role model.
The preferred candidate will possess outstanding verbal and written communication abilities, the capacity to establish and maintain trusting relationships both internally and externally, critical thinking skills, and problem-solving capabilities. Maintaining high levels of integrity, professionalism, and discretion in handling confidential information is essential.
As an Administrative Assistant, you will: - Organize monthly administrative staff meetings including agenda, speakers, technology, and location details.
- Manage team communications, providing policy, procedures updates and changes.
- Update and maintain organizational charts, ensuring accuracy through regular audits.
- Oversee new hire onboarding logistics in collaboration with GIB Operations teams for smooth equipment distribution and technology access.
- Coordinate and schedule all recruiting, onboarding, training, and development sessions.
- Assist in tracking administrative exits, including supporting exit interviews with HR business partners.
- Monitor day-to-day operations and alert Director of major disruptions, gaps, and inefficiencies.
- Track and maintain admin PTO via GIBWeb calendar.
- Maintain the administrative support staff BairdWeb page, homepage, and contacts list.
- Coordinate group events such as offsites, retreats, and training sessions
- Analyze and evaluate procedures to identify areas for improvement.
- Recommend strategic improvements and implement solutions to optimize performance.
- Stay updated on industry administrative trends by engaging with internal and external communities.
- Support the Director with calendar management, scheduling calls, meetings, interviews, travel arrangements, expense processing, and document management using Teams channel.
- Undertake other assigned duties and miscellaneous projects.

What we look for: - Bachelor's degree or equivalent work experience required.
- 3+ years of experience as an executive assistant or similar role with significant transferable skills.
- Strategic and analytic thinker, problem-solver and results driven.
- Ability to handle sensitive information, maintain a high degree of confidentiality, integrity, and professionalism always.
- Quick learner, with great curiosity, and ability to work independently under limited supervision.
- Must be a self-started, proactive, prompt follow through and a team player.
- Excellent interpersonal, written, and verbal communication skills.
- Advanced proficiency with MS Office Suite, Workday, Salesforce, Concur, and SharePoint.
